Resignations/Terminations

Appointed Employees (Faculty, Non-Classified & Classified)

Step #1

A. Once leave has been entered, an EE can be done at any time, but should be completed before payroll cutoff to avoid overpayment. (Use MNLV unless the leave period is closed in which case you must use MB and make a monthly adjustment.)

B. If the employee wishes to donate unused sick or annual leave to the Catastrophic Leave Bank, they need to complete the form and return it to Human Resources (ADMN 222). The employee may donate a maximum of 32 hours in the calendar year.
C. The process for requesting/announcing a vacancy may be started anytime after notice is given that a position is being vacated. (Reference the appropriate hiring steps for the correct process.)

Step #2

A. Do PAYS, reason code EE in PSB (Give specific reason for employment ending)
B. For faculty only, notify the Grants office & the VPAG's office of the EE

Step # 3

Instruct the employee to return all university keys to the Physical Plant Key Office (take the receipt to the Office of Human Resources, ADMN 222) and pay any fees outstanding to the University. When the EE is completed on BASIS, notice will automatically be sent to Human Resources and the AGRI Personnel Office. Collect any university property. If the employee wishes, s/he may make an appointment with a benefits representative (Human Resources 575-2167) to discuss insurance, retirement, etc. (this is not required since information will be sent to the employee by mail).

Step #4

A. Make the appropriate updates to the on-line Agriculture Directory.
B. If you have a forwarding address, make the address change in DIRM.

Step #5

A. Send a copy of the letter of resignation and written acceptance to the AES personnel officer for the employee’s file.
B. Any unused annual leave up to 240 hours and compensatory time will be paid to the employee as a lump sum payment on the supplemental payroll of the month following their termination if the EE is performed in the month the employee terminated.

 

 

Hourly Employees

Step #1

A. Collect all university property.
B. When an hourly employee is no longer working for you or a wage rate has expired, it is beneficial to "inactivate" their wage rate(s) (HRLY-TS, UWR, U, BU, EMP ID, HTC, SEQ <enter>, Status I, PF10)
