Requests for Survey Data |
| The Institutional Research (IR) office has collected several years of student survey data using a variety of tools. These surveys were administered with the intent of increasing the University of Arkansas' knowledge of how students perceive the University, both prior to and while attending the University of Arkansas. When the surveys were administered, students were requested to identify themselves using their social security number and to respond to the questions as honestly as possible. In exchange, students were guaranteed that personally identifiable information and responses would be kept confidential. It is the intention of IR to maintain the confidentiality of student responses. |

| IR feels strongly that the survey data and/or results should be made available to qualified members of the University community for analysis. Raw survey data will be provided to qualified researchers who are conducting legitimate research projects that will benefit the University community. In the interest of maintaining student confidentiality, personally identifiable information (student social security number, SSN) will be removed from the dataset(s) prior to releasing the information to the researcher. |

| If the researcher needs to combine information available in the UA Data Warehouse with the survey data, or needs to link two surveys, IR (or offices that IR has confidentiality agreements with, such as the UA Survey Research Center*) will align the required data and substitute the student identifier (SSN) with a randomly generated number. |

| The information will be disclosed only if: A) The study is conducted in such a manner that does not permit personal identification of parents and students by individuals other than representatives of the organization; and B) The information is destroyed when no longer needed for the purposes for which the study was conducted. |

Those individuals that desire access to IR survey data will need to sign a memorandum of agreement and provide the following information:
- Purpose of the research project and how it conforms to FERPA regulations.
- The type of statistical analysis to be used (this should include the sample size, the sampling method and the specific tests to be used).
- If data from the UA Data Warehouse is needed, all variables will need to be identified and included in the application for data.
- Name of University of Arkansas faculty or staff member responsible for the end use of the data.
- In the event that data from the UA Data Warehouse needs to be incorporated, the researcher will need to supply a copy of the IRB protocol and the approval memo associated with that protocol.
- The researcher will specify the survey(s), the year the survey was administered and the questions needed as well as specifying any data needed from UA Data Warehouse. There is either a link to or a copy of each survey we administer on our web site.
- Signed confidentiality agreement (graduate students will need to have their committee chair sign as well).
- Specific date by which the data is needed (IR will need a minimum of 6 weeks from the date that we receive the completed application to compile all necessary data).
